Accounting Clerk

Delisle Walwyn St. Maarten B.V is seeking a hardworking, highly analytical individual to fill the position of Accounting Clerk for their Accounts Services Department. The successful candidate must possess good communication skills to interact with vendors, management and staff. This position reports directly to the Supervisor-Accounts Services Department.

Areas of responsibility include but are not limited to the following:

Essential Duties and Responsibilities

• Verifying the accuracy of invoices and other accounting documents or records.

• Update and maintain accounting journals, ledgers and other records detailing financial business transactions (e.g., disbursements, expense vouchers, receipts, accounts payable). Enters data into computer system using defined computer programs.

• Reconciles records with internal company employees and management, or external vendors or customers.

• Recommends actions to resolve discrepancies.

• Investigates questionable data.

• Review Cruise line systems on a daily basis and report cash available balances to management.

• Maintain good relationships with all cruise line principals and vendors by ensuring that money is received and payments are made in a timely manner.

• Ensure the invoices to cruise principals are submit within 14 days.

• Maintain a Fixed Asset Register with additions and disposals.

• Prepare gain/loss schedule for disposals and ensure monthly posting of depreciation charges.

• Reconciles tour revenues to ship invoicing and tour administration.

• Protects organization's value by keeping information confidential.

• Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations.

• Any other duties that may be assigned by the Accounting Manager.

Minimum Qualifications

• A minimum of at least (2) years Accounting work experience preferred.

• A minimum of a diploma in Accounting or Business Studies would be preferred.

• Must be proficient in Microsoft Office, particularly Excel.

• Must be well organized, reliable and possess good communication skills.

• Must be able to work independently and also with a team in a fast paced environment.

• Must be detail oriented, with a pleasant and professional attitude.

• Knowledge of applicable accounting and administrative procedures would be anasset.

• Associates Degree in Accounting would be an asset.

2.   Administrative Coordinator

Delisle Walwyn St. Maarten B.V is seeking a hardworking, highly analytical individual to fill the position of Administrative Coordinator for their Port Services Department. The successful candidate must possess good communication skills to interact with vendors, management and staff. This position reports directly to the Operations Supervisor, Port Services Department.

Areas of responsibility include but are not limited to the following:

Essential Duties and Responsibilities

• Update internal submission log as invoices are billed to ship.

• At the end of each week, based on Block Assignments you must ensure that each ship is billed within 7 Days of that vessel call.

• Follow up on all outstanding invoices to be billed to cruise lines and prepare them for manager’s approval.

• Create and submit disbursement accounts for non-cruise vessels. Items 1-3 would also apply for non-cruise vessels.

• Make a copy of all invoices, one to be attached to ship’s vessel attendance file and the other to be submitted to the Accounting department (Accounts Payable Clerk) for payment. (Based on Block Assignment)

• Communicate with vendors on errors on invoices and follow up for corrected invoice, where necessary.

• Maintain cruise lines files in accordance with company policy and accepted accounting practices. The cruise contract must be on the permanent file.

(Contracts are stored by the Department Manager). No invoice should be archived unless paid in full.

• Submit all invoices to the respective cruise lines within 7 days of the vessel call.

• Assist with the follow up of cruise receivables.

• Assist with the reconciliation of the cruise receivable accounts.

• Review all cruise lines online disbursement systems for status of invoice and proactively respond to cruise lines where invoices are either pending too long or were rejected.

• Assist with basic accounting functions upon request by management

• Any other duties that may be assigned by the Department Manager.

Minimum Qualifications

• A minimum of at least (1) year administrative or accounting work experience preferred.

• A minimum of a diploma in Business Studies or Accounting would be preferred.

• Must be proficient in Microsoft Office, particularly Excel.

• Must be well organized, reliable and possess good communication skills.

• Must be able to work independently and also with a team in a fast paced environment.

• Must be detail oriented, with a pleasant and professional attitude.

• Knowledge of applicable accounting and administrative procedures would be an asset.

• Associates Degree in Office Administration or Accounting would be an asset.

3.   Boarding Agent

Delisle Walwyn St. Maarten B.V is seeking a hardworking, highly analytical individual to fill the position of Boarding Agent for their Port Services Department. The successful candidate must possess good communication skills to interact with vendors, management and staff. This position reports directly to the Operations

Supervisor, Port Services Department.

Job Summary:

Ensure the highest level of service delivery, whilst acting as Port Services’ first point of contact on the arrival of all vessels. The individual should provide exceptional customer service and sound communication skills when interacting with local vendors, management and crew members.

Essential Duties and Responsibilities

• Assist with coordinating Arrival/ Departures of all Vessels with the appropriate authorities (Pilots –Tugs – Port Authorities etc.) with the

Expected Time of Arrival (ETA).

• Board the Vessels with Authorities on arrival and departure and ensure all operations are handled smoothly.

• Facilitate the requests of the crew and passengers thru transport, medical attention and immigration clearances.

• Assist with vessel needs such as inspections, technical issues, logistics and documentation.

• Ensure all vessels follow all government guidelines while in port.

• File the necessary paperwork with local authorities as needed per ship.

• Ensure that all correspondence is communicated in a professional and timely manner.

• Assist with the collection and reconciliation of all outstanding accounts and other related financial statements.

• Assist where necessary, with the clearing and other requests of the yacht services clientele.

• Any other duties that may be assigned by the Department Manager.

Minimum Qualifications

• A minimum of at least (2) years work experience in the Tourism industry is preferred.

• A minimum education of a diploma would be preferred.

• Must be proficient in Microsoft Office, particularly Excel.

• Must be well organized, reliable and possess good communication skills.

• Must be able to work independently and also with a team in a fast paced environment.

• Must be detail oriented, with a pleasant and professional attitude.

• Knowledge of applicable administrative procedures would be an asset.
